Privacy Policy

Last updated 11 October 2026

This Privacy Policy explains what personal information Kickora collects, how we use it, who can see it, and the choices you have — including deleting your account from inside the app.

1. Information you give us

  • Account details: your email address, first and last name, phone number, date of birth, favourite position and, if you add one, a profile photo.
  • Your password, if you create one. We only store it in a securely hashed form and can never see it.
  • If you sign in with Google: your name, email address and Google profile picture. If you sign in with Apple: your name (the first time only) and email address, which may be a private relay address if you chose "Hide My Email".
  • What you do in Kickora: the groups you create or join, matches you join, attendance, team and line-up choices, ratings you give and receive, chat messages and voice messages, and any reports or blocks you make.
  • Messages you send to our support team.

2. Information collected automatically

  • Location: only while you are using the app and only if you allow it, to show groups, matches and pitches near you and to help organisers pin a pitch. We use it for that request and do not keep a history of your location.
  • Microphone: only while you record a voice message in a group chat, and only if you allow it. Nothing is recorded at any other time.
  • Push notification token: if you allow notifications, a token from Firebase Cloud Messaging so we can send you match reminders, group updates and chat alerts.
  • Device and session information: a label for each signed-in device (such as "iPhone (iOS 18)"), sign-in times, and technical logs including IP addresses, used to keep your account secure and to prevent abuse.

3. How we use your information

We use your information only to run Kickora and keep it safe. We do not sell your personal information and we do not use it for advertising. Specifically, we use it:

  • To run Kickora: your profile, groups, matches, teams, chats, ratings and attendance statistics.
  • To send notifications you have not turned off, such as match reminders and requests to rate a match.
  • To keep Kickora safe: reviewing reports, enforcing our Terms of Use, and preventing fraud, spam and abuse.
  • To email you about your account: verification and password reset codes, a welcome, and a notice when you sign in, your password changes, your account is suspended or deleted, or these documents change.
  • To email you a weekly summary of your matches and, when you have not played for a while, the matches in your groups that have spots. You can turn either off in Profile > Notifications or with the link in each email.
  • To answer your support requests and to fix and improve the app.

4. Who can see your information

  • Players in your groups can see your name, profile photo and favourite position, and how you were rated in matches you played together. Your phone number is shared only in private groups, with the members let in and the admins, so players and organisers can reach each other; in public groups it is not shared. Your email address is visible only to group admins and match organisers.
  • Your chat messages, voice messages included, can be seen and heard by the members of that group who were in it when you sent them. People who join a group later only see the messages sent after they joined.
  • Match rosters, teams and attendance are visible to the players of that match and the group.
  • You no longer see chat messages from users you have blocked.

5. Service providers

We share information with companies that help us run Kickora, only for that purpose and under their own privacy and security commitments:

  • Google Firebase — Cloud Messaging (push notifications) and Cloud Storage (profile photos, group logos and voice messages).
  • Google Sign-In and Sign in with Apple — if you choose to sign in with them.
  • Google Maps and Places — maps and pitch search.
  • Our hosting and email delivery providers — to run the service and send our emails.

6. Keeping and deleting your information

We keep your information while your account is open. You can delete your account at any time from Profile > Settings > Delete Account. When you do, we remove your profile details (name, photo, phone number, date of birth and position), your sign-in methods and sessions, group memberships, join requests, notification settings, notifications, blocks and push tokens, and we take you off upcoming matches. Groups you created are handed over to another admin or member, or deleted if nobody is left.

Some records are kept in anonymised form so other players’ history still makes sense: past match rosters, ratings and chat messages remain but show as "Deleted user". Your voice messages are deleted, since a voice identifies the speaker. Copies in backups are removed on their normal schedule. We may keep information longer where the law requires it or to deal with a report or dispute.

Deleting a voice message deletes its recording. When a voice message is reported, a copy of it is kept for our moderators while the report is open and for 90 days after it is closed.

7. Your choices and rights

  • Edit your profile at any time from Profile > Edit Profile.
  • Turn individual notifications on or off in Profile > Notifications, or turn off notifications and location for Kickora in your device settings.
  • Ask us for a copy of your information, or to correct or delete it, by emailing us. Depending on where you live, you may have further rights, including to object to or restrict how we use your information and to complain to your local data protection authority.

8. Security

Data is sent over encrypted connections, passwords are hashed, and on your phone your sign-in tokens are kept in the device’s secure storage (Keychain on iOS, Keystore on Android). No system is perfectly secure, so please use a strong password that you do not use anywhere else.

9. Children

Kickora is not intended for children under 13 and we do not knowingly collect their information. If you believe a child under 13 has an account, contact us and we will delete it.

10. Changes to this policy

If we make significant changes we will let you know in the app and by email and, where required, ask you to accept the updated version.
